We are precisely 29 days away from the LXXI Council Meeting Niš. According to our regulations, this is just in time to share some important announcements with you.
Every General Assembly needs its agenda. There are a lot of topics that we will cover in the upcoming Council Meeting, such as the Budget of ESTIEM for 2025/2026, annual accounts of the previous year, annual report and the discharge of the previous board. You can find the agenda points attached to this email. Soon, they will also be published on the CM webpage: https://estiem.org/lxxi-council-meeting/ . If you have any questions or suggestions regarding the GA agenda points, please don’t hesitate to get in touch with me via president@estiem.org.
One of the major topics at this Council Meeting will be the Budget of ESTIEM for the association year 2025/2026, which will be voted upon by the delegates at the Council Meeting. On behalf of the Vice President of Finance, Inci Yerebasmaz, I’m sending you attached the draft version of the budget and a notice:
Keep in mind that this is a draft budget, thus the Board might change some expenses and incomes until its final presentation during CM Niš. Pay attention also to the fact that the Realisation of the Annual Accounts of the previous association year hasn’t been checked yet by the Financial Controllers and some changes might be done as well. If you have any questions, feel free to contact the Vice President of Finance via vp-finance@estiem.org or via Google Chat.
The final version of the budget, the one which will be voted upon during the Council Meeting, will be sent out the latest 7 days before the opening of the General Assembly which starts on the 7th of November 2025.

The LXXI Council Meeting Nis is approaching and there are important matters to tackle before the start of the event. Please read this email carefully as it contains information about the registration of you as a participant, merch you can order, event agenda you can explore and specifically for delegates, voting registration. Let’s dive into it!
PARTICIPANT REGISTRATION (ALL)
In order to officially register for the Council Meeting, the Local Group requires information regarding logistics, food and other relevant aspects of the Council Meeting. IMPORTANT: The participation fee can just be paid in cash!
You can register for the Council Meeting in this form. 🙂 Deadline to register as a participant of the Council Meeting is 12th October 2025 until 23:59 CEST.
VOTING DELEGATE REGISTRATION (Only Delegates)
One delegate from each Local Group attending the Council Meeting must register as the voting delegate. Voting delegate means that this person will receive emails with links to voting sheets for each voting session. The decision on who will be the voting delegate is on you, but decisions are made together in the name of your Local Group. Make sure to read the instructions before filling the form out!
Every Local Group (delegates of the Local Group) who is a proxy for another Local Group that will not be present at the Council Meeting must fill out this form with the proxy information as well. Check with your Local Responsible to know if you are proxying. To be a proxy means to vote in the name of a Local Group not present at the Council Meeting. This is allowed only if the Local Group that will not be present has sent a request to be proxied for.
This form is mandatory and the deadline to fill it in is 22nd October 2025!!!

WHO IS WHO?
Have you heard of Local Group Yellowstone? They’re real—and their members are all Bears! You can find them in the portal under Local Groups. They’re behind the Who is Who? form and the creation of Council Meeting Families. Families are small groups formed during Council Meetings to connect ESTIEMers from different backgrounds. Each Family has a Parent (an experienced ESTIEMer) who coordinates activities and keeps everyone together.
For Council Meeting Nis, the Who is Who? document with Family distribution will be made by our very own Twinkle Bear. To help him assign Families, please fill out the form with some fun info about yourself.

The next Council Meeting is already approaching! The LXXI Council Meeting of ESTIEM will take place in Nis, Serbia, from the 6th until the 12th of November 2025.
The Council Meeting is the statutory meeting of ESTIEM. It takes place twice a year and it brings together around 250 Industrial Engineering and Management students from 26 European countries. It is composed of two parts, the General Assembly, where everyone is updated on what is going on in ESTIEM and decisions are made through voting, as well as the Working Groups, Training Sessions and Company Workshops, where smaller groups either work to develop ESTIEM, or improve their skills.

Open Positions
A Council Meeting is the place where we gather to invest time in our organisation, to meet new and old friends and celebrate the ESTIEM Spirit. By participating as a delegate, you may represent your Local Group in the Council Meeting and have a secure spot for the event. For more information, please contact your Local Responsible. Alternatively, you can also participate by applying to the following positions:
You can find all the brief descriptions about each position in the attachment. Please send your application until the 27th of August 2025 at 23:59 CEST. To apply for any of the aforementioned positions, follow this link and select what you are applying for.
ESTIEM forms can only be accessed if you log in to your ESTIEM account before opening the form!
Please keep in mind that due to limited availability, it is possible that you may not be selected for the role you are applying for. ESTIEMers can apply for as many positions as they’d like to, but it does not increase nor does it decrease their chances for getting accepted to the Council Meeting. Please note that there will not be any additional registration opportunities for extra places or other positions at a later time.
Local Group Nis will soon provide more information regarding crashers, but as a reminder, crashers are not participants of the Council Meeting and are therefore responsible for their accommodation and food. They will be provided in a limited amount.
Working Groups
ESTIEMers have once again the opportunity to apply to hold a Working Group, but only a limited number will be selected. For the selection you will need to present concrete goals and a plan to follow up the outcomes after the Council Meeting. Maximum 2 ESTIEMers can apply to hold a Working Group as the Co-leaders. If the Working Group is accepted, the Leaders that applied to hold it will have a secured spot for the Council Meeting. The applications will be held in a separate form that can be found below.

I hope this email finds you well and excited for the upcoming Council Meeting! The official invitation for the LXXI Council Meeting Nis has been sent to the actives of our network. As announced, the Council Meeting will take place from 6th November to 12th November 2025 in Nis, Serbia. Now, it is time for your Local Groups to choose your delegates and register them on the portal.
Your Local Group may be represented by two people as delegates, and the period to register them on the portal starts today, 13th of August, and lasts until the 27th of August until 23:59 CET.
Local Groups are obligated by Membership Regulations to send delegates to Council Meetings and the Local Responsibles are responsible for their registration on the portal. You can learn about the Membership Regulations of ESTIEM in this document.
In case more members of your Local Groups are interested to participate in the Council Meeting, an additional email will follow and be sent shortly to active@estiem.org regarding the open positions.
The Council Meeting is the statutory meeting of ESTIEM and it takes place twice a year and brings together around 250 Industrial Engineering and Management students from 26 European countries. The delegates will represent your Local Groups, so please prepare your delegates properly for the Council Meeting and make them aware of the importance of their role while sharing the document How to be a Delegate.

The Board of ESTIEM and Local Group Niš are honoured to invite your Local Group to join the LXXI Council Meeting of ESTIEM in Niš, Serbia from the 6th of November to the 12th of November 2025.
The Council Meeting is a statutory event of ESTIEM that gathers around 250 students from all parts of our network. This event is made up of several General Assemblies that allow Local Groups and active individuals to express their thoughts, concerns, and provide input on the network and ongoing work and is being enriched by training sessions, a city tour and night activities.
The Council Meeting provides a unique opportunity to contribute to the future of the network and stay informed.
Please find attached the official invitation letter to the LXXI Council Meeting of ESTIEM. Your Local Group may send two delegates. Therefore, considering knowledge about your Local Group and Central ESTIEM, ensure that you send the best possible representatives to be the face and voice of your Local Group. Registration period for the delegates is from the 13th of August to the 27th of August 2025.
Active ESTIEMers may also attend the event by applying for the roles of Chairman, Secretaries, Voting Committee, Trainers, Working Group Leaders, Livestreamer, Photographers/Videographers/Content Creators, and Extra Places as well as indicate their preference to take the role of Safety Contact Person (SCP). Additional information about the registration procedure and open positions will be provided soon.
The cancellation deadline for all participants is the 30th of September. If a participant cancels later than the mentioned date, the organisers reserve the right to request a portion of or the entire participation fee from the mentioned participant.

A Council Meeting will bring together 250 ESTIEMers from all corners of our network. During the Council Meeting, you will have the chance to develop yourself in training sessions, develop your Local Group in working groups and roundtables, and attend the General Assembly, the statutory meeting of ESTIEM. By attending the General Assembly, you have the opportunity to shape the future of ESTIEM by voting on applicants for positions in central ESTIEM and on projects and changes. You will also get informed about the latest developments in ESTIEMs Departments, Services, Projects, and Committees, as well as updates on the work of the Board. Additionally, this is the biggest opportunity to expand your network of IEM students in Europe!
Every Local Group can be represented by up to two delegates. The delegates are the official representatives of Local Groups. The period to register delegates is from the 13rd of August until the 27th of August 2025. Later applications will not be taken into account.
In addition to delegates, spots are reserved for various Council Meeting positions. You can check them out on the website or if you check emails sent to the network regarding open positions.
The Participation Fee for LXXI Council Meeting Nis is 125 euros, it covers food, accommodation, transportation during the event, and activities included in the agenda.
For the open call for extra places, an email has been sent to the actives email list. You can find it in the Announcement Box above.
