BECOME A

Regional Coordinator

Regional Coordinators are the main link between the Local Groups and the ESTIEM Board. Their mission is to strengthen the ESTIEM network at the regional level by supporting Local Groups, improving communication, and encouraging collaboration.

  • Establish and maintain strong relationships with all LGs
  • Provide tailored support to LGs, helping them grow and overcome challenges
  • Facilitate two-way communication between the Board and LGs
  • Share opportunities, updates, and relevant information to ensure engagement
  • Organize and/or support regional events
  • Encourage collaboration among LGs to foster regional unity

Committee Leader

A Committee Leader is a key leadership position in ESTIEM responsible for managing one of the organization's operational teams—called Committees. Committees focus on specific internal work that is crucial for ESTIEM’s development and day-to-day operations, such as IT, Public Relations, Human Resources, Knowledge Management, and more.

  • Lead and coordinate a team of committed ESTIEMers
  • Define goals and priorities
  • Collaborate closely with the Board to align efforts with the network’s direction
  • Ensure task delegation, follow-up
  • Monitor and improve internal processes, tools, or communication methods
  • Foster personal growth and engagement within your team
  • Document work, maintain continuity, and support knowledge transfer

Mission: 
Increase awareness and recognition of ESTIEM towards IEM Europe and bring value to the network,
by representing ESTIEM in external contexts, facilitating existing collaborations and establishing new collaborations with other organisations.”

As an Ambassador, you will be working on ESTIEM’s relations with other NGOs, staying in close contact with many ESTIEM entities, and expanding your network of contacts while developing your presentation and communication skills. You will build external relations, represent ESTIEM at relevant external events, and organise joint events with partner NGOs.

Important Changes:
This year, as the 36th Board elect, we decided to open a new position called “Ambassador Coordinator.” We are planning to choose one Ambassador Coordinator. This position has specific responsibilities, as outlined below:

Main Responsibilities of the Ambassador Coordinator:

  • Being an Ambassador
  • Coordinating Ambassadors
  • Organising meetings and taking minutes
  • Working on the strategic aspects of the Ambassadors together with the Board Responsible

We are asking every applicant to submit their Ambassador application individually, not as part of a team.

Main Responsibilities of Ambassadors:

  • Managing relationships with partner NGOs
  • Ensuring the representation of ESTIEM at relevant external events and sharing key learnings from those events with the network
  • Inviting externals to ESTIEM events
  • Promoting external opportunities among ESTIEMers
  • Facilitating knowledge sharing and joint event offerings with other NGOs
  • Establishing new partnerships with NGOs based on ESTIEM’s needs
  • Ensuring the proper visibility of our partner NGOs within the ESTIEM network

Everyone considering applying for either the Ambassador or Ambassador Coordinator position must fill out the Mandate Plan Overview (MPO).
If you are applying for the Ambassador position, you do not need to fill out the Team & Leadership section of the MPO.
If you are applying for the Ambassador Coordinator position, you must fill out the Team & Leadership section of the MPO.

Please be aware that the 36th Board elect of ESTIEM reserves the right to appoint you as an ambassador, even if you have applied for the role of Ambassador Coordinator. Additionally, the 36th Board elect reserves the right not to appoint any coordinator.

Mission:
“Support ESTIEM to make the decision-making more fact-based in order to help the organisation move forward, while supporting ESTIEMers in their professional development.“

As the Leader of the Analysis Committee you will responsible for making use of ESTIEM’s data. You will coordinate the development of Dashboards and work together with the board or other entities to enable them to make use of our data. During your leadership journey you will not only learn a lot about working with data, but also gain profound knowledge on Tableau, one of the leading BI-Tools in the world.

Main Responsibilities:

  • Working on current databases and visualising them on Tableau
  • Supporting relevant decisions based on data visualisation (dashboards on tableau)
  • Offering support for ESTIEMers who are willing to learn analysis tools and to work with data.


Strategic Needs:

  • Find synergies between AC and the Visual Storytelling with Data
  • Develop more advanced event data analysis based on feedback forms submitted through the ESTIEM Portal

AC already does a lot of analytics on events. Which area do you think would be the most valuable for AC to start performing data analytics on and why?
What improvement opportunities do you see regarding event feedback forms?

Mission:
“The Corporate Relations Committee is responsible for creating,developing and maintaining academic and corporate partnerships that will contribute with value and support to the network.”

As the Corporate Relations Committee Leader, you will be involved with the institutional and corporate partners of ESTIEM. You will have a chance to gain experience in creating and maintaining sustainable partnerships.

Main Responsibilities:

  • Acquiring new partners (institutional or companies) through promotion of ESTIEM’s offers
  • Securing financial and in-kind support for ESTIEM through strategic partnerships and long-term collaborations
  • Maintaining strong relationships with current partners and ensuring that contractual agreements and deliverables are fulfilled (Customer Relationship Management)
  • Developing and aligning value propositions (company workshops/trainings that add value to development of ESTIEMers) with ESTIEM’s Services and Events

Mission:
“The Event Quality Committee aims working towards having a standardized Events’ quality improvement system, and continuosly improving quality in ESTIEM events.”

As the Event Quality Committee Leader you will be working on different aspects of event quality, analysing and developing the quality in ESTIEM events, and coordinating the Event Quality team.

Main Responsibilities:

  • Work closely with VP of Activities, Service Leaders and Local Groups in developing the event quality
  • Organisation of “Training Event Organisers” 
  • Development of content related Feedback Forms for every Service & Initiative with their respective Leaders
  • Ensuring feedback collection on content within Services & review of the feedback with Leaders
  • Support to Leaders in questions on organising their events

Strategic Needs:

  • Committee receives a new scoping in close collaboration with VP of Activities
  • Developing EQC to become a central partner for Service Leaders and Local Groups in event organisation

Mission:
“Provide insights on IEM through conduction of research projects and support of the management of academic partnerships, in order to connect and inform the stakeholders in IEM Europe.”

Being a EDC Leader is more than just organizing research and managing projects. It is a journey filled with opportunities to impact IEM (Industrial Engineering and Management) education and engage with various stakeholders across Europe. This role allows for significant contributions to education and the broader IEM community.

  • Coordination of projects and teams: You will carry out diverse projects by selecting suitable ESTIEMers aligned with the committee’s goals and project needs. Examples include educational campaigns, international research support, IEM surveys and online events/conferences with Professors.
  • Organisation of partnership events in collaboration with Universities and Professors.
  • Develop the Academic Projects of the network by advocating IEM Students

Mission:
“The Financial and Legal Committee is responsible for ensuring GDPR compliance, making financial analysis and contributing to the budget realisation.”

As Financial and Legal Committee Leader you will be involved in the financial and legal matters of ESTIEM. You will gain insight on the operational side in developing a budget and gain understanding on the importance and correct use of GDPR.

Main Responsibilities:

  • Ensuring all data processing within ESTIEM aligns with GDPR, in collaboration with the Vice President of Administration
  • Monitoring, advising and analyzing the budget with the Vice President of Finance
  • Providing knowledge on financial documents (invoices, reimbursement form..)
  • Supporting the proper use and documentation of project-based grants; ensuring all payments are justified, tracked, and reported

Questions for application:
Why do you think GDPR compliance is important, and how could it be improved within ESTIEM?

Mission:
“Support the Board in the application of grants opportunities for ESTIEM, seeking for new grant application opportunities and reporting them.”

As Grants Committee Leader you will work on the obtention of European grants in order to (financially) support ESTIEM and report on progress on fulfilling obligations tied to the received grants. Next to that, most European Grants give an overview of how ESTIEM is doing as an European Youth Network. Thus, you will be responsible of providing ESTIEM with these valuable insights.

Main Responsibilities:

  • Research grant possibilities (project-based or structural)
  • Make sure that ESTIEM submits the deliverables according to the grant application
  • Apply for relevant European Grant(s)
  • Evaluate the results and how ESTIEM is aligned with European Youth Goals

Strategic Needs:

  • The Committee shall be further professionalised in operations
  • Explore further grant opportunities and design a project plan for smooth grant application process with balanced workload
  • Further improvement of knowledge transfer within the Committee to have a high performing team of grant writers that can produce cohesive results

Mission:
“Support all Central ESTIEM entities in recruiting, onboarding, and developing their team members by facilitating recruitment processes, assessing stability and providing opportunities for development.”

  • Managing opportunities for further development of Central ESTIEM members
  • Supporting the recruitment processes of Central ESTIEM
  • Team Members Assessment and understanding of motivation
  • Organising Training Next Leaders

Mission:
“The Information-Technology Committee is responsible for maintaining the IT platforms and infrastructure, providing security on all ESTIEM platforms and providing technical support to users.”

  • Maintaining ESTIEM portals and all IT related platforms
  • Ensuring proper functioning of the SSO and Google Spaces mail servers
  • Providing technical support for all users
  • Ensuring security on ESTIEM platforms

Mission:
“The Knowledge Management Committee is responsible for sharing knowledge and experience within the network, properly managing ESTIEM drives and supporting the use of Elium as a knowledge sharing platform.”

  • The knowledge management structure in ESTIEM
  • Organising information and knowledge by storing it and managing its visibility
  • Providing incentives for knowledge sharing and promoting a sharing culture in ESTIEM
  • Administration of knowledge management tools

Mission:
“Members Committee’s mission is to assure every association is following ESTIEM’s Membership Regulations, monitoring and supporting Guests and Observers on their way to Membership and controlling the activeness of our Members. We also explore new opportunities in European Technical Universities to establish new Local Groups that would make the network more diverse.”

Main Responsibilities:

  • Monitoring Local Group Requirements
  • Assuring Membership Regulations are followed and informing Local Groups about their membership requirements status prior to Council Meetings in case of shortcomings
  • Close monitoring of Guest and Observer Local Groups’ activity and providing constant support
  • Analyzing new growth opportunities by managing incoming requests from interested stakeholders

Which countries / Regions in Europe would you like to approach to establish a new LG there and why?

Mission:
“The Public Relations Committee aims to maintain the ESTIEM brand by creating and publicizing the necessary brand materials for this purpose and to support entities and Local Groups in order to increase the recognition of ESTIEM to its stakeholders.”

As Public Relations Committee Leader you will work on the betterment of the Brand and image of ESTIEM; and work closely with the Vice President of Public Relations while having the chance to develop your own leadership and PR related skills.

Main Responsibilities:

  • Managing ESTIEM’s social media channels, creating content and tracking KPIs
  • Collaborating with other entities inside the organization
  • Creating PR-related development opportunities for your team and the whole network
  • Coordination of merchandise for Central Teams for Council Meetings

Strategic Needs:

  • Promote Industrial Engineering and Management among our stakeholders through our communication channels
  • Support Local Groups with their PR needs
  • Adapt PR centralisation to the network

Mission:
“Connect, educate, and support ESTIEM in the making of initiatives relevant to Social and Environmental Responsibility (SER).”

Additionally, you will have the opportunity to shape the creation and implementation of ESTIEM’s sustainability strategy to a new level. SERC plays a crucial role for the attractiveness of ESTIEM towards the EU and grant admission by the EU. It is thus not a “nice to have” but an entity of strategic value and high importance for ESTIEM and its external stakeholders.

Main responsibilities:

  • Ensuring the implementation & reporting of sustainability activities
  • Coming up with new and impactful initiatives on SER topics
  • Coordinating the implementation of current effective projects
  • Prioritisation of committee workload and resources

Strategic needs:

  • Development of an implementation plan to ensure that grant related sustainability activities are being done and followed up on.
  • Scouting of further opportunities to make ESTIEM a more inclusive and sustainable organisation
  • Operationalizing the work within SERC in projects & work packages

Implementation of the SDG Challenge is a project that SERC has been working on for a while. What’s your vision for it and do you see it in ESTIEM? Describe your vision for a sustainable ESTIEM in 100 words.

Mission:
“Trainers Community provides training sessions to ESTIEMers to help their personal and professional development while supporting the future growth of the community.”

As the Trainers Community Leader, you will work with dedicated trainers and handle the operational tasks to sustain and develop the community.

Main Responsibilities:

  • Supporting the future development of current Trainers and organizing Training New Trainers events
  • Developing internal and external training opportunities
  • Working to increase the quality of training sessions
  • Increasing the awareness about training culture in the Local Groups and encouraging Trainers to deliver on a local level
  • Develop, implement and improve a structure to support the above

Strategic Needs:

  • Ensuring a sustainable trainer pool to fulfill the network’s Trainer needs.
  • Increase awareness about how to collaborate with TC within the network
  • Exploring the option of setting up a team around the TC Leader to balance workload

BECOME A

Task Group / Initiative Leader

As a Task Group Leader you are responsible for an entity that has a specific task or objective to complete, limited in time, while as an Intiative Leader you are head of a new event type or project.

  • Define clear goals and direction for the initiative or task
  • Build, lead, and motivate a team
  • Create a structured plan with objectives and timelines
  • Coordinate closely with the Board to ensure alignment with ESTIEM’s strategic vision
  • Ensure effective communication within the team and externals

Mission:
“ESTIEM Hunt bridges the gap between ESTIEMers and the professional world by creating valuable, interactive career opportunities with companies “

Background:
Previous editions of ESTIEM Hunt involved online events, with company presentations, workshops, and discussions with ESTIEMers.

Main Responsibilites:

  • Organizing online events and collecting and analyzing feedback to improve future events
  • Preparation of workshops
  • Building long-term connections that empower ESTIEMers to take their next career step
  • Ensuring knowledge management for ESTIEM Hunt’s sustainability

Strategic Needs:

  • Developing new concepts of ESTIEM Hunt
  • Revising the value proposition to increase engagement of participants

Mission:

“The Local Group Exchange Task Group aims to connect and support Local Groups in order to ensure the event quality of exchanges while defining and standardising its content and establishing innovation for the event concept.”

Main Responsibilities:

  • Managing the ongoing operations and facilitating Local Group Exchanges within ESTIEM during its mandate period
  • Developing and proposing a sustainable future structure, organisation, and working procedures of Local Group Exchanges within ESTIEM

Strategic Needs:

  • Most organised event, the organisational process should be clear and easy to follow
  • Set up the process of connecting exchange partners, coordinate and improve event content

Mission:
“Create a support system for Local Groups’ development, with a customised, project-based approach, focusing on Local Groups, willing to be supported”

As the Local Group Support System Leader you will ensure a successful implementation of a support system for our Local Groups.

Main responsibilities:

  • Overseeing the LR Forum
  • Managing the LR Onboarding
  • Further development of the support system for our Local Groups

Mission:
“The Circular Economy Course taught by professors and companies related to the circular economy, will teach students with real case studies. By taking this course, participants would gain a comprehensive understanding of the key concepts regarding circular economy, and relevant knowledge such as how circular economy principles can be applied in the industrial context.”

Responsibilities:

  • Coordinate the organisation of subsequent offline courses
  • Create a collaboration with partners involved in the course to implement the course in the long term at ESTIEM
  • Ensure visibility of this course among ESTIEM members and relevant external stakeholders

Additionally, you will be part of the Academic Development Department, and are expected to be active in that Department (joining the meetings, joining the Coordination Meetings, etc.) and contributing to its development.

Strategic Needs:

  • Work to establish the course as a sustainable and valuable service within ESTIEM with a recognised certification.
  • Develop a model & pathway of how this course can work in a self-sustaining manner similar to the LSS course while providing a valuable certification
  • Look out for strategic partnerships with other NGOs to strengthen the course offering

Which two things do you see as the most important topics to move the course to the next level of its developmental stage?

Mission:
As the PEAK Sports Initiative Leader you will be responsible for the coordination and implementation of PEAK events, developing further projects such as online platforms and contributing to the initiative becoming a sustainable service.

Main Responsibilities:

  • Developing innovative sports-based offerings
  • Coordinating and introducing online offerings
  • Promoting the initiative in the network
  • Establishing connections to sports trainers e.g. by communicating with our alumni
  • Engaging and motivating ESTIEMers to participate actively

What are your plans to make this initiative a sustainable service?

Mission:
“Visual Storytelling with Data teaches students how to select, analyse and represent data in the clearest way, which is important to draw the best conclusions. It consists of a pre-course, which is being delivered online, supported by a series of videos, and a live event, where participants gain practical knowledge of Tableau.”

Background:
With the help of ESTIEM alumnus Bart Jutte, ESTIEM has created a new ESTIEM certificate programme. This course has been taken place twice and aims to create a new certified Service recognised in ESTIEM for more Local Groups, instructors and students to be trained in this speciality.

Main Responsibilities:

  • Coordinating the organisation of subsequent offline courses (goal: minimum 2 within your mandate)
  • Developing and establishing a training process for students who want to become instructors.
  • Striving to improve the quality and certification of the course
  • Additionally, you will be part of the Academic Development Department, and are expected to be active in that Department (joining the meetings, joining the Coordination Meetings, etc.) and to contribute to its development.

Strategic Needs:

  • Learning from & benchmarking with the operations in the LSS team to setup sustainable and efficient operations
  • Implementing quality assurance measures & standardization for student instructors and course delivery
  • Ensuring the visibility of this course to ESTIEMers and relevant external stakeholders, collaborating with different ESTIEM entities and seeking a recognised and valuable certification for participants.
  • Preparing the initiative to become a fully established service by the end of the mandate

Application Timeline

You can now apply for ESTIEM Leadership positions, appointed by the Board and aiming to support the development of ESTIEM. The mandate duration is one year 01/08/25 - 31/07/26. Here is the timeline:

1st Application
Round

During this round, ESTIEMers can apply to a Leadership position by submitting their applications in the Application Form.

1st Round
Results

After receiving all the applications, the Board will evaluate them. The final results will be communicated to the applicants via email any date until June 14th.

15/06 - 22/06
2nd Application
Round

In case some of the positions open called are not filled, those positions will be announced and ESTIEMers can apply for them. The procedure shall stay the same as in the first round.

23/06 - 29/06
2st Round
Results

After receiving all the applications, the Board will evaluate them. The final results will be communicated to the applicants via email any date until June 29th.

30/06 - 01/08
Handover
Period

From the moment that a Leader is appointed by the Board, the handover period starts where the predecessors will prepare newly elected Leaders and teach them about the specific positions.

The Leaders Onboarding is an online event where you will learn all there is to know about what it means to be a Leader in ESTIEM, all while getting to bond with the Leadership generation that you will spend the next year with.
